position overview
the red flower executive assistant to the CEO will oversee a daily schedule of appointments, generate reports and presentations, field inquiries and direct written and verbal communication. the executive assistant will be required to complete tasks and projects in a timely manner, react with appropriate urgency to situations and anticipate business needs. responsibilities
- ensures all inquiries and issues are handled in a courteous and timely fashion
- coordinates scheduling within the company as well as other daily appointments and obligations with customers and partners
- arranges travel and meetings by developing agendas and itineraries; coordinates lodging, meeting accommodations and air, train or car reservations
- process all incoming correspondence, prioritizing and determining its disposition
- effectively promotes and represents brand image and message
- cultivates an extensive knowledge of brand offerings
- assists CEO with special projects, as assigned, by establishing objectives, determining priorities, managing time, monitoring progress and problem-solving
- produces reports and creates presentations as needed
- generates effective notes from meetings and organizes them accordingly
- directs written and verbal correspondence in a professional manner
- some travel required
skills & qualifications
- 4 year college degree
- 2-4 years of assistant experience
- exceptional written and verbal communication
- excellent interpersonal skills
- strong organizational, prioritizing and multitasking skills, with an eye for detail
- enjoys a fast-paced, problem-solving environment
- demonstrates leadership and accountability
- maintains a warm, positive manner in any circumstance
- projects a high level of taste and sophistication
- a strong understanding of the fashion and beauty industry
- proficiency in salesforce, quickbooks, fishbowl, microsoft office
- has the flexibility to work extended hours or some weekend days when appropriate
- must have strong communication and social media skills
- driver’s license required
